Acuity Scheduling is a SaaS platform designed to simplify appointment booking for service-based businesses. It replaces manual scheduling processes such as phone calls and email coordination with a fully automated online booking system. The platform allows clients to self-book appointments based on real-time availability, while giving businesses full control over services, staff schedules, and booking rules. Its goal is to reduce administrative overhead, minimize scheduling friction, and create a more seamless experience for both businesses and their clients across industries like healthcare, wellness, consulting, and education.
Design
How we built it
We developed a WordPress site focused on real-time availability management and automated booking workflows. The system was built around a flexible scheduling engine that allows businesses to define working hours, service durations, buffers, and staff-specific availability rules.
A key component of the platform is the client-facing booking interface, which displays live availability and enables users to schedule appointments instantly without manual confirmation. We implemented a fully automated notification system that handles confirmations, reminders, cancellations, and rescheduling through email and SMS channels.
The platform was designed with extensibility in mind, supporting integrations with external calendars, payment providers, CRM systems, and video conferencing tools. This enables businesses to manage the entire appointment lifecycle, from booking to completion, within a unified ecosystem. The architecture also supports multi-service, multi-staff, and multi-location configurations, making it suitable for both small businesses and larger organisations.
Result
The platform significantly streamlined appointment scheduling for service-based businesses by replacing fragmented manual processes with a centralized automated system. Businesses gained real-time control over availability and reduced scheduling conflicts, while clients benefited from a faster and more transparent booking experience.
Automation of confirmations and reminders improved attendance rates and reduced no-shows, while integrations with calendars and payment systems simplified operational workflows.
